What is a material gate pass?
A material gate pass is the document that authorises goods to leave (or enter) a factory, warehouse, or office. Security at the gate checks the physical material against the pass before letting it through, which makes the pass the point where custody of company property is controlled.
The two types
- RGP — Returnable Gate Pass: the material is expected back (repair, calibration, job work, demo, loan, samples for review). The pass stays open until it returns.
- NRGP — Non-Returnable Gate Pass: the material leaves for good (scrap sale, dispatch, disposal). The pass is closed at the gate.

- Pass number and date
- Material description, quantity, and serial or asset tag
- From / to — department and external party
- Purpose and reference document
- Vehicle number and carrier
- Raised by, approved by, verified by security (with time)
- For RGPs: expected return date, and the return record
Why material movement is the weakest gate control
Most sites invest in visitor management first, because people at the gate are visible. Material leaves in smaller, quieter ways — a toolbox on a repair run, samples in a courier bag, scrap on a Friday truck. When the material gate pass lives in a paper book separate from the visitor register, nobody reconciles the two, and open returnables are rarely chased.
